How clients opt in to VITADesk texts

VITADesk is an online appointment scheduling service owned and operated by LCO Software Inc. VITADesk is the name of the software, not a separate legal entity. People use VITADesk's booking pages to book a free tax preparation appointment at a participating nonprofit site. The phone number is collected on the VITADesk booking form shown below, which every site's booking page uses. LCO Software Inc., as VITADesk, is the sender of every text; the nonprofit sites do not compose or send messages.

The consent step, as shown to every client

This is the contact step of the VITADesk booking flow. The text consent box is unchecked by default, consent is not required to book, and the disclosure sits directly beneath the box.

What happens after consent

The client checks the box and completes the booking on the VITADesk page.
VITADesk sends a booking confirmation text. It names VITADesk as the sender, states the organization and the appointment details, and ends with "Reply STOP to opt out."
Before the appointment VITADesk sends a reminder the client can answer with Y to confirm or C to cancel.
If the organization changes or cancels the appointment, VITADesk sends a notice with a link to pick a new time.
Replying STOP ends all texts from VITADesk to that number. Replying START resumes them. Replying HELP returns contact information.

Consent given by phone

When a client books by calling the organization, staff enter the booking in VITADesk and record whether the client agreed, on the call, to receive appointment texts from VITADesk. The same disclosure is read to the client, and the consent is stored with the date, time, and staff member.
